In the last week I have been having problems with partial sales of securities. I use this feature often and in the past have never had a problem until now.

I enter the sale transaction for less than the total # of shares and I get the partial sale prompt to which I answer yes. Everything seems to calculate fine (basis allocation/gain or loss, etc). However, the system is not setting up the new account with the sld#1 suffix and format of "sold asset-security". When I run the tax schedule D report that sale is missing, but the sale is reflected in the income statement for the month.

I have checked to make sure there is room in my data files to add a new account and there is no sold date recorded in the Asset & Liability information before I enter the transaction.

Are you using the most current version of FN? Go to Help, About Financial Navigator, and on second line you should see your version. The most current is 8.0.4. If not, please update.

When you do a report on Schedule D, do you have any qualifier set up? Sometimes the "sld#1" takes up your qualifier spaces.

Is the sold account showing up in the chart of accounts?

I need a little more information to be able to help you.

Yes, I am using qualifiers for the accounts. For example, the original asset may be set up as Convergys Corp Lot #1/SSB. Lot #1 may have 1,000 shares and then 200 will be sold.

When you say the sld takes up the qualifier spaces does that mean the qualifier drops off? If so, that seems like a system problem which I should recommend they fix in future versions. In any event, I do not believe that is my problem here in that the sld does not show up on the chart of accounts anywhere.

Please let me know if you need more information.

I am sorry I wasn't more clear. When I said are you using a qualifier on the report I meant are you asking for a sch D report for a specific qualifier i.e. "/ssb".

There are only 26 characters allowed for an account description including the qualifier.
So, when you do a partial sale, the "sld#" will replace any necessary digits it needs to add that "sld#" that you have set up starting with the qualifier. Therefore, if you are running a report for a specific qualifier and it has been removed to make room for the "sld#", it will not show up on a report. Run a Schedule D report for all accounts and see if your partial sales show up.

Is there an asset & liability set up for the partial sales after you enter the transaction?

No asset or liability account gets set up for the partial sale. The sale is in the income statement but does not appear on the Schedule D report. I have been having to go in and set up my own separate account, bifurcate the original asset and then re-enter the transaction to get the partial sale to appear.

Please do a test and correct on all files. This is done by going to Utilities|Test and Correct and select "all of the above"

Please verify that the original asset shows a format of common/preferred stock and NOT "sold".

Does this happen in all your entities, or just the one?

Do you have a back up copy of your files prior to this problem starting? We may need to reinstall the files prior to your problem and try again from there. That would involve re-entering any transactions made after that date. Please don't do this without doing a back up of the current file in case you have problems, and also so that you have a record of all transactions done since the problem started and can reproduce them once the problem is resolved.

You indicated that you verified that you have checked under Utilities|System Reconfiguration and checked your file sizes for the accounts and all is in order there.

There is no reason that I can tell why your system is not setting up the sale accounts properly.

I have done a test and correct files numerous times and no problem is detected. Sometimes I will get an error message that says "cannot find partial sale account for XYZ stock" Other than that, nothing.

I have also checked to see that assets are properly coded as common/preferred stock. Right now, I have only seen the problem in one of my entities but that may be because most of my other entities rarely do partial sales.

I do not know if I have a backup before the problem started or not. I currently have been backing up every other day or so. In any event, since the problem started last week I have probably made 1,000+ changes so re-entering all the changes is not really viable.

I do not think it would be proper for me to send a copy of the data files as this is all confidential data.

I have tinkered with it a bit more and the problem seems to be when the asset name with qualifier is already 24-26 characters and then I do a partial sale, it records the partial sale but will not set up the partial sale account asset account.

Can you test a dummy transaction in your files? For example, set up Liz Claiborne 10.15.00/MSDW as an asset with 1,000 and a cost basis of $75,000. Then do a sale of 200 shares for $20,000 and see what happens.

Well, I tried using your example, and I was able to make the system function properly. It did drop off the MSDW qualifier, but set up the s#1 new asset correctly and the sale hit all reports.

Does the partial sale ever work? i.e. does it work on assets that have less than 22 characters in the name?

When you go into the multiple distribution screen of a partial sale, does everything come up on your screen ok? Or does it say partial sale not found? Does it want to add it at that point?

One more test. Please check the tax code for the original asset and verify that it is coded for Schedule D. That is the last thing I can think of that might be causing the problem. You can check tax code under Accounts|Tax Code Changes. Your account should show Asset-Cap Gain/Loss Sch D. This is what triggers an account to hit up on Sch D, (but this still does not address the sld# account set up.) Try it anyway though and let me know.

Also, we will use any data files sent to us ONLY for the purpose of troubleshooting your problem. Once resolved, that data would be deleted from all our records.

I understand your desire to not have to re-enter that many transactions. However, it is between that and having to do your sale transactions as you are currently.

Further comments:
If problem is related to truncated qualifiers due to 26-character account name limit:
  1. Print Sched D for all accounts
  2. Note any truncated qualifiers ("Rayovac.../AB_S#1")
  3. In FN, change account names of the truncated accounts. You can be a little creative to come up with shorter names ("Ravac.../ABC_S#1"). Now the accounts will show up on Sched D by qualifier.
  4. Print a list of all accounts and rename any securities that are longer than 22 characters. This will allow up to 99 future partial sales for each of those securities.
  5. When acquiring new securities, use account names of 22 characters or less.
