Topic: Can’t change Allocated Number of files to less than Highest Used

I’m trying to reduce the allocated number of files for my accounts. When I select Utilities | System Reconfiguration | Change File Sizes, Navigator reports that the Highest Used is much more that the number I’m actually using. Navigator won’t let me reduce the Allocated Number to less than the Highest Used.

You are correct. The Navigator database makes a slot for each account, even if you later delete the account. Normally this isn’t a problem, because you can use that slot for a new account. However, if you really do want to reduce the Highest Used number, here’s how:- Backup your data.
- Select Accounts | Change or Delete Account Name.
- Select the arrow next to Account. The Select Account screen appears with a list of all your accounts.
- Click on No at the top of the account number column. The accounts sort by account number.
- Scroll to the top or bottom to view the accounts with the highest numbers.
- Write down the account names of some of the highest-numbered accounts.
- Select Cancel and Close to exit the screens.
- Select Accounts | Chart of Accounts.
- Add new accounts with slightly different names to replace the accounts with the highest numbers. Navigator will assign the new accounts to empty slots with lower numbers.
- Close the Chart of Accounts screen.
- Select Accounts | Change or Delete Account Name.
- Enter the old account name with the highest number.
- Select OK.
- Enter the name of the new account in the New Name box.
- Select OK, Yes, and OK to rename the account, delete that old account, and reassign the transactions.
- Repeat steps 11-15 for each account you added.
- (Optional) Select Accounts | Chart of Accounts and change the new account names back to the old account names.
- Repeat steps 2-17 until you have renamed enough of the high-numbered accounts.
- Select Utilities | System Reconfiguration | Change File Sizes. Note that the Highest Used number is lower and you have more space available for new accounts.

I have tried your posted suggestion and was able to open up only about 40 account spaces. I need about 600+ account spaces to finish posting the year for a lady who has a very large portfolio of stocks. Since I cannot reclassify accounts into any other status becuase I am posting asset purchases and sales, I would like to know whether you can reassign allowed space from say distributions to account space?Please let me know whether this idea is practical as soon as possible as I cannot finish your records for the year? Donna:Each Edition of Navigator has built-in limits to the number of accounts it can handle. Currently: - Personal Edition: 1,000 accounts
- Standard Office Edition: 3,000 accounts
- Professional Office Edition: 8,000 accounts
If your Number Used and Highest Used are close to 3,000 accounts, you will not be able to add 600 more accounts. You can upgrade to the Professional Office Edition and get another 5,000 accounts.If your Number Used is much less than 3,000 accounts, you can add the 600 accounts. If this is the case, reply with the numbers for accounts for Number Used, Highest Used, Maximum Number, and Allocated Number so I can better understand. You cannot reassign the space used by distributions to accounts. Here is an explanation of the numbers on the Change File Sizes screen for the accounts file: - Number Used – Actual number of accounts in use.
- Highest Used – Highest account number used. This can be higher than the actual number of accounts in use if you’ve deleted accounts. You can reset this number down to the actual number of accounts in use using the steps above.
- Maximum Number – Maximum number of accounts allowed in your Edition.
- Allocated Number – How many account numbers can be stored in the current data file. You can change this number to anywhere between the Highest Used number and the Maximum Number. Usually the best size is about 20%-100% more than the Highest Used.
