I can access my Chart of Accounts just fine. All the accounts are there. However, when I go to Balances for Accounts and pop up the list of accounts, everything after the letter "P" is missing.

I've tried to run Test & Correst Files. All the tests come up okay except Transaction File. I get dozens of errors saying
"Account XXX is not in the account index. Transaction amount is XXX. Correct the transaction ... (details of the transaction) Use Change/Review for XXX (month) in Account XXX."

Another symptom of this problem is Error 35062.

It sounds like your account alphabetical index needs to be rebuilt. This means that the Test & Correct for Account Alpha Index can't see the problem. However, when Test & Correct Transactions is run, it points out that the transaction appears "out of balance" because of the "missing" accounts. The accounts are still there and all the transactions are still there, but they can't be seen because the account alphabetical index is out of whack.

To rebuild the Account Index:

  1. Before you begin this procuedure you should make a backup copy of the data files just in case.
  2. Switch to test mode by selecting Help | About Financial Navigator.
  3. Press the letter "t" and select Ok to the prompt "Set to Test Mode".
  4. Select Ok on the About dialog box to return to the FN desktop.
  5. Now select Utilities | Test & Correct Files | Rebuild Account Index.

Now determine if you still have the problem of "missing" accounts: go back to Balances for Accounts and look at your account list. If they're there, you're done. If not, you may need to also rebuild the Chart of Accounts Files.

Only do this if you're still having a problem after completing the above steps. To rebuild the Chart of Account files: While still in Test Mode, select Utilities | Test & Correct Files | Rebuild Chart of Account Files. This will rebuild your Chart of Accounts.

The following things happen when the chart of accounts is rebuilt:

  • The Rebuild Chart of Account Files will recreate the Chart of Account from the account file.
  • The category names will be set to the default names.
  • The accounts will be in alphabetical order in the category.
  • The previously duplicated account will show up only in one place.

I am having a similar problem and have followed the steps you outlined to rebuild account index and the chart of accounts, but it's not working. I'm still getting an error message when I run Test & Correct Files for my transaction files. The error message reads 'Account ~ is not in the account index. Correct the transactions. Use change/ review in account ~'

When you get the error message(s):

  1. Make note of the particular transactions it is telling you to correct.
  2. Back up your data files.
  3. Run a software update. See Software Update from FN for instructions.
  4. Go to those transactions and delete them.
  5. Run Test & Correct Utility again.
  6. Re-enter the transactions.

I have the most current software update. I believe how I got this error message is that I was deleting some accounts that we no longer use. When I was prompted with the message that there is activity in this account are you sure you want to delete it, I must have hit yes, rather than no.

Are you still experiencing the problem?

After you delete the transactions, when you re-enter them you should be prompted to "add new account" for those accounts that may have been accidentally deleted.

I'm not able to delete the transaction because I can't pull up the account that I recorded the entry in. I must have deleted the account my mistake. How else can I delete the transaction?

Do you mean that the account you deleted was the transaction journal? Like a checking account or a savings account? (The account you select from the Function box in the transaction entry screen.)

FN does not allow you to delete an account that has either balances or transactions in them. You are required to zero the balances and re-assign transactions prior to deleting an account.

Go to the transaction journal (e.g., checking account, savings account) where you actually entered the transaction with the account that has now been deleted or is causing the error message. Do not go to the Category:Asset and Account: Account that was deleted transaction entry screen.

To delete a transaction:

  1. Go to the transaction entry screen where the transaction is that you want to delete.
  2. Select the correct month, category, and account.
  3. Select X from the drop down menu in the Status column of the transaction you want to delete.
  4. Select Enter
  5. The message box appears: "Delete Transaction?"
  6. Select Yes
  7. Go to next transaction line.
  8. Close out of transaction entry.
  9. Run Test & Correct Utilities.

Once you no longer have the error message (after deleting all necessary transactions), you can go in and re-enter the transactions with good/new accounts.
