Topic: Unused entity - won't let me use it.

I have four entities I have used in my version of FN. I should have one more available to me. However, the only one is called FINNAV (the folder name). When I try to use that one it says I can't that I have used up all of my entites. Each year for each of the four entites, I just put the two digit year behind the name so I know which year is which, such as ANNISON02. Could maybe one of these not been done that way one year and it made it its' own entity? How can I fix this? I do not want to buy more entities when I have one left to use.Please help.

Once an entity name is on the list, when you start a new year for a set of data files, the same entity name is used for each successive year of those data files. Since the same entity name is used, your list of entities remains the same. It sounds like you have created an entity name in error or have one that is no longer being used. There are 2 methods of deleting entity names. One involves deleting an entity name that has no data files, and the second is deleting an entity name that does have data files. First you must verify your entity name list and the data files associated with each name. I. Obtain a list of the current entities used in FN by selecting File | List Entities from the main FN screen. You might want to print this out for reference. The print will be very small.
II. Obtain a list of all folders for all entities. See the forum post List of Entities. Verify the entity name each of these data files is associated with. This can be done by looking at the name at the top of the FN screen once you have opened the data files. The entity name appears before the file path name (e.g., Dewey & Vera Goode - 2000 - C:\Program Files\FN\Sample - where "Dewy & Vera Goode" is the Entity Name and "Sample" is the data file folder) Method 1: If you have an entity on your list that you want to delete but that does not have any data files, see the forum post Deleting Entities. Method 2: If you have an entity name on your list that does have data files that you want to delete:
- Backup the data files in case they are ever needed in the future.
- Select File |Delete from the FN main screen.
- Highlight the data file to be deleted.
- Select OK.
- FN asks if you want to delete the specified data files. Select Yes.
- FN verifies you want to delete the specified data files. Select OK.
- FN requests verification to remove data files folder. Select Yes.
- FN verifies files have been deleted. Then FN asks if you want to delete the entity name from the entity list. Select Yes.
- FN confirms entity file name deleted from the entity list.
This will free up an entity name from your entity list.Please reply to this post if your problem is not resolved. Please provide the following information: - What version of FN are you using? See the post FN Version to verify the version you have.
- What edition of FN are you using? (Personal Edition, Standard Office Edition, or Professional Office Edition) This information will be on the same page as the version you are using.
- What Windows application are you using? (Windows 98, 2000, NT, XP)

Well, two of my entites are named the same thing. One has two more spaces in it. They each are called "Dawson O. & Allison B. George". One just has an extra space between the "&" sign and the "O." and the "A." For this entity, I name each years data such as DGABG00 (for 2000), DGABG01 (for 2001), etc. I have tried opening each year and looking for the one with the extra spaces but it never seems to change. How do I know which of these entites holds the data or if the data is split between the two. I can't tell just by looking at it.

I forgot to tell you, I am using version 7.03 and I have Windows 98.Thank you.

You need to change the entity name so that all related data files have the exact same name. Then delete the old one.- Access one of the related data files.
- Select File | Change Entity Name. Change the entity name to something you can verify the change on. (e.g., take out the "." after the middle initials, or just change the name to D & A George).
- Look at all of the related data files and determine which ones have the old name still.
- Change the entity name on one of those to the "new" entity name.
- Repeat this process untill all related data files show the "new" entity name.
- Then follow the steps to delete an entity with no data files for the old entity name.
Once you have done that, you should be back to 4 entity names on your list. You can then change the new entity name back to whatever you want it to be. We have made some very exciting and productive improvements in FN and I would recommend updating to the newest version.
