Peter:
Good question. When you start a new year, Navigator normally places the new year's data folder in the same location as the old year's data folder. Not sure how yours got misfiled, but it's easy to correct. Do pay close attention to the screens when you start 2009 to see where the data will be stored.See also
The Navigator Open screen displays the folders as they are organized on your hard drive (or your server's hard drive). Navigator data is organized by entity and by year. Each entity has a set of files for each year. I call this entity-year data. Each set of entity-year data is 15-20 files. Each set of files is in a folder with a folder name assigned by you. Of course you can organize these folders as you describe, putting all the 2007 entity-year folders in a 2007 folder:
2007 folder
Logan 2007 folder
Mason 2007 folder
2008 folder
Logan 2008 folder
Mason 2008 folder
To rearrange your folders: - Back up your data.
- Open Windows Explorer (Start | My Computer)
- Navigate to your data folders.
- Drag the Logan 2008 and Mason 2008 folders to the 2008 folder.
That's all there is to it. If you have any questions about the process, I'd be glad to explain in more detail. It's a good idea to look around while you're viewing your data folders on Windows Explorer. Verify that everything is organized nicely and there are no duplicate folders or orphaned files. Often we find users have "loose" data files that aren't in any entity-year folder. If you find any of these, drag them into a new folder named "LostFiles."
