When I select File | List Entities I see the same entity name listed twice – and it is using up two of my FN entities. How can I fix that and free up an entity?

It is impossible for FN to have two entities with the same name on the list. So there must be a subtle difference between the two names. Print the entity list and inspect it closely. Is there a difference in spelling, spacing, or punctuation?
One name may even have a blank space after the name. This would not show up on the screen or printout.

To correct the problem, you need to rename one or both of the entities so they both have exactly the same name. The easiest way to do this is:

  1. Open the entity in FN. It doesn’t matter which folder or year, unless you can identify the entity with the bad name.
  2. Select File | Change Entity Name. See Change Name on Reports.
  3. Carefully enter the new name on the Change Entity Name screen. FN will use this name from now on.

If the new name exactly matches the duplicate name, List Entities will show the name only once and you will have freed up an entity.

Otherwise, you still will have two names. If you can find the folder with the FN data that has the second entity name, open it and change the name to match.
If you don’t know where the other name came from, follow the procedure for deleting an entity that has no data. For instructions, see Deleting Entities.

At some point in the future, you may open other FN data for this entity but get the message “The entity …is not currently on the entity list. Do you want to add this entity to the entity list?” Stop and think. You may want to select Cancel and display the entity list. If this really is the same entity, but with a typo or slightly different name, go ahead and open it. Rename it to the new name as above. If there are folders from other years, you may need to repeat this process.

The moral of the story is: Make sure an entity is not already on your FN entity list before you add it.

The same company name appears twice on the entity list. The name is spelt exactly the same on both ocassions and on checking each year's files I am unable to find a space bar after the name.

The best thing to do at this point is to get both the duplicate entities off the list. We’ll do this by renaming one and deleting the other.

First, back up all your data. That’s always a good idea.

Then, follow the instructions above to change one of the entity names. If the old, duplicated name was "Silver Lining," change it to something different like "Silver Lining Two"

If the old name still appears on the entity list, delete that entity following the steps above, pretending like it has no data. Normally, when you delete an entity, the data for that entity is deleted also. Following these special steps for an entity without data allow you to delete the entity name, even if you aren’t sure what data goes with it.

Now there is one less entity on your list, since the duplicate is no longer there.

At this point, you can change Silver Lining Two back to the original name Silver Lining.

After this is all done, you may have data for the entity that still has some problem with the old name. When you open that data, FN will ask something like 'The entity Silver Lining is not currently on the entity list. Do you want to add this entity to the entity list?" Since that is the problematic old name that you just deleted, allow FN to add it to the list, then rename it to Silver Lining. Even though both names seem the same, this should correct the name so that it doesn’t appear as a duplicate. You still have the correct number of entities.
