Be very careful, you can lose your data when you have folder names like that. The names seem logical, but when Navigator tries to be helpful and rename folder, it gives a confusing name to the backup folder and, worse, it puts the new year’s data in the folder that had the old year’s data:Old folder name FY Data Backed up to New year folder FY data

There are two ways to avoid this problem: 1) rename you existing folders or 2) rename the folders when beginning a new year.

When you upgrade to Navigator 9.0, none of this will matter. Navigator 9.0 does not use separate folders for each year. Beginning a new year will be easier and less error prone.
Method One: To rename existing folders
If you rename your existing folders now, beginning a new year will be easier now and in the future. But, it may be confusing if you are used to the old folder names. Old folder name FY Data New folder Backed up to New year folder FY data

To rename existing folders and Begin a New Year:
- Open Windows Explorer (Start | My Computer)
- Browse to the location of your Navigator 8.2 data folders.
- Rename the folder Entity01_07-08 to Entity01_FY07. The accounting convention is to refer to 07-08 as FY08, but Navigator works better is you name the folder FY07.
- Open Entity01_FY07 in Navigator. Notice the blue bar at the top of the screen shows “07-08” and the path with the folder name Entity01_FY07. It is always a good practice to pay close attention to that information at the top, especially when changing folders and starting new years.
- Select Utilities | Begin a New Year. The Begin a New Year – Folders screen appears. Pay close attention to this screen.
- Notice Navigator is about to back up to Entity01_FY07.
- Change the backup folder name to Entity01_FY07_Backup. This is optional, but otherwise it backs up to the same folder, which isn’t a backup at all.
- Notice the new year’s data folder name will be Entity01_FY08 which is correct for FY 2008-2009.
- Select Next. The Begin a New Year – Options screen appears. Pay close attention to this screen also.
- Select the options that your office uses.
- Verify the Beginning Month and Year Ending are correct.
- Select Next. The Begin a New Year screen appears. Carefully verify that the folder names are correct.
- Select Yes. The new year data is created and ready for use. Notice the blue bar at the top of the screen still shows last year’s information.
- Select OK. Notice the blue bar at the top of the screen now shows the new year’s information.
Method Two: Rename folders while beginning a new year
If you rename your folders while beginning a new year, you need to pay close attention each year. But, your folder names can keep the 07-08 convention to which you are accustomed.Old folder name FY Data Backed up to New year folder FY data

To rename folders while beginning a new year:

- Notice the new year’s data folder name will be Entity01_07-08 which will overwrite and erase all your 2007-2008 data.
- Change the new year’s data folder name from Entity01_07-08 to Entity01_08-09.
- Select Next. The Begin a New Year – Options screen appears. Pay close attention to this screen also.
- Select the options that your office uses.
- Verify the Beginning Month and Year Ending are correct.
- Select Next. The Begin a New Year screen appears. Carefully verify that the folder names are correct.
- Select Yes. The new year data is created and ready for use. Notice the blue bar at the top of the screen still shows last year’s information.
- Select OK. Notice the blue bar at the top of the screen now shows the new year’s information.
