We are using a group account to record a particular type of extractive income and then using categories under that group to record the income by state, with accounts providing further detail on the income by property. However, our company is in more states than the user-defined categories appear to allow us to have within one user-defined group. Are we limited to five user-defined categories within the user-defined group? If this is true, I would like to suggest that the creation of user-defined categories with a user-defined group not be limited to a certain pre-defined number.

Hi,

Yes, the number of user-defined categories per group in the Chart of Accounts are limited to 10 categories.

However, have you considered using qualifiers rather than the Chart of Accounts? For example, rather than creating a category for each state, you can simply tag the accounts with a qualifier.

For example, an account could be tagged as such:

Lehman5402/CA
Checking2/MA

You can then reports for those qualifiers. This solution is more flexible than simply using the Chart of Accounts.

Your response to my post included the comment that "categories per group in the Chart of Accounts are limited to 10 categories". As I look at the Master Chart of Accounts in the SOE, version 8.2.5 we are using, I only see 5 user-defined categories available in a user-defined group. 10 categories would work fine for our needs. Is this something available in a newer version of SOE or perhaps only in POE?

Hi,

Sorry for the confusion. Here is a breakdown of the user defined categories:

Assets: 6 groups, 59 categories.
Liabilities: 3 groups, 15 categories.
Equity: 4 groups, 63 categories.
Income: 5 groups, 50 categories.
Expenses: 5 groups, 50 categories.

You cannot add more user definable categories than the ones that already exist within FN.

There is no difference between SOE and POE in regards to the amount of user definable categories.

Ensure that you are looking at the Master Chart of Accounts to see all of the user defined groups and categories.

I am looking at the Master Chart income section and each user defined group only has 5 categories. It doesn't sound like the same Master Chart that you are referring to in your latest reply.

I would like to be able to send an Excel file of the Master Chart report to you so that you can look at it and see if I am missing something here. Is that possible?

Hello,

If you haven't already, one thing to try would be to update the Master Chart of Accounts.

This can be done by Opening the "Utilities" menu, selecting "System Reconfiguration" and then "Update to new Chart of Accounts".

This will bring your Chart of Accounts up to the latest version.
