I have been using FN for five months now and am still struggling with auto entries. For year end posting I want to create a 'K1 Net Activity' payee/payor.

1.In the auto entry screen I tried to put a memo in the first line. After changing the code from DR/CR to Memo I still get 'amount' in the Amount/Memo field and cannot write a memo.

2. After setting up several accounts my last entry is to the partnership I am posting the net K1 Income/Loss to. Is there an Action Code that will calculate the net of the amounts I have entered for Ordinary Business Income, Portfolio Deductions etc ?

In general, if would help a lot if I could find and review some examples of more complex auto entries, preferably with detailed explanations. Thank you.

Your question consists of two parts; partnership entries specifically and automatic entries in general.

The first line of the automatic entry must be Multiple Distribution. Then you can have the second line of the automatic entry be:

  • Enter memo (113) – This means that the memo must be typed in while in Transaction Entry.
  • Memo = Constant memo (123) – This means that you type in the memo in the automatic entry screen, and this memo will appear each time you use this payee or payor.
  • Other choices – There are too many memo action codes to list here. There are other choices such as Memo = month, Memo = for, and so on.

Here are the steps to follow:

  1. Create or select the payee you wish to use.
  2. In the Account field, the first line must be ***Multiple Distribution, and the Action code from drop-down list such as Enter Amount.
  3. If the Account list box comes up on any line where you don’t need an account (i.e., the first line or any Memo line), just hit cancel.
  4. Tab down to the second line, Action Code field. Select the type of memo you want (for example, Constant Memo).
  5. If you’ve selected Constant Memo, tab three times over to the Amount/Memo field.
  6. Type your constant memo.
  7. Tab to the next line.
  8. Enter or select the account name you wish to use.
  9. Complete the automatic entry as you normally would.

  • Action Codes
  • Setting Up an Automatic Entry
  • Automatic Entry Action Codes – This is a list of all action codes with descriptions

Another source of information is the sample data, which has many complex automatic entries.

IMPORTANT

The Action Code next to the "multiple distribution" square MUST be changed to any other Action code other than "end entries" (i.e. "enter amount" is the easiest one.)

Any Action code would be acceptable here as long as it is not "end entries."
