Joe:Normally, you delete an entity from the entity list by selecting Delete next to the entity you want to delete on the Open screen. In your case, the entity does not appear on the Open screen so it is not that simple.
This happens when there is no data for that entity. We have to fool Navigator by giving it some data. The same situation happens in Navigator 8.2. See Lost Entity and similar posts.
This probably happened when you converted 8.2 data to 9.0. Once an entity¡¦s data is in 9.0, there is no way to delete the data even if you wanted to. You can only delete entity names from the entity list, not data.
You will need a copy of a "clean" database with just the Dewey & Vera Goode sample data. If you don't have one handy, contact Customer Service to download it from our website or make a backup of the Dewey & Vera Goode sample data from your existing database. In this instructions that follow, we'll assume the clean database is named fn001Sample.mdb.
You need to have at least one spare entity to do this. If you don't, temporarily delete a good entity to make room. Unlike Navigator 8.2, deleting and entity in Navigator 9.0 only deletes it from the entity list, it does not delete the actual data. However, to undelete that entity you will need to contact Financial Navigator Customer Service.
To delete an entity without data - Method 1:
- Select File | List Entities.
- Print the list for reference.
- Mark the entity(s) that you want to delete.
- Verify that the entity does not appear on the Open screen (otherwise you will be deleting good data).
- Select File | Backup | Backup All Entities. It is always a good idea to backup before deleting anything.
- Select File | Import Entity. You can skip this step and the next two steps if Dewey & Vera Goode are already on the Open screen.
- Browse to the clean database fn001Sample.mdb.
- Select Open. You now have a Dewey & Vera Goode entity we can use.
- Open Dewey & Vera Goode.
- Select File | Change Entity Name.
- Select OK twice to get to the Change Entity Name screen.
- Enter the exact name of the entity you want to delete in Entity Name at Top of Reports.
- Select OK. A message appears telling you that Navigator has added the entity you want to delete to the entity list.
- Select File | Delete.
- Select the entity you want to delete.
- Select Delete. A confimation screen appears.
- Select Yes to delete the entiy from the entity list.
- Select OK. The open screen reappears. Note the deleted entity in now listed in italics and there is a check mark on the deleted box for that entity.
- Repeat steps 6-16 for any additional entities you wish to delete.
- Select File | List Entities and verify the entity is no longer on the list.
- Remove the check mark from Show deleted if you don't want to see the deleted entities on the Open screen.
To delete an entity without data - Method 2:
If you already have a deleted entity on your open screen and you never will need that entity again, Contact Financial Navigator Customer Service to be able to open the deleted entity. Rename that entity to the name of the entity that you want to delete and then delete it. Repeat the process if you have addtional entities without data that you want to delete.
Method 3 works best if you have lots of entities without data and not too many real entities.
To delete an entity without data - Method 3:
Reinstall Navigator 9.0 from the CD. When it says "Existing Entity File--Keep or Delete?" select Delete. Then as you use Navigator you will be asked to add each real entity the first time you open it.
