This is a known problem left over from FN8.2. What creates the problem is:
1. You enter a transaction with a multiple distribution.
2. You delete the transaction.
3. FN deletes the transaction as it should, but leaves part of the multiple distribution attached to the account. This does not show up on any report.
4. You try to delete the account (in 8.2 or 9.0). FN won’t let you because of this hidden, partially deleted multiple distribution.
The only time this causes a problem is when you try to delete the account. The account won’t show up on reports because it has a zero balance and no transactions.
Since you can’t really delete the account, you have three options:
• Rename the account to an account you can use—another checking account or any other asset account.
or
• Hide the account (this feature is only available in Navigator 9.0 and later).
or
• Rename the account to “Transfer Clearing Account.” Actually, you could rename it to any asset account. By using Transfer Clearing it will be easy to spot any transactions if you accidently renamed an account that really did have transactions. See Delete account from Chart of Accounts
To hide the account:
- Run Transaction by Account reports for each year (or, if you have Advanced Reports, run one report for all years). Verify there are in fact no real transactions and $0 balance.
- Rename the account to something like “old account to delete.”
- Change the Active To date to 2007 since you didn’t use it in 2009 or 2009. (You didn’t use it in 2007 either, but you can’t hide it in all years.)
To change the Active To date: - Run Transaction by Account reports for each year (or, if you have Advanced Reports, run one report for all years). Verify there are in fact no real transactions and $0 balance.
- Rename the account to something like “old account to delete.”
- Open Chart of Accounts in any year.
- Find the account in the Account Properties grid.
- Select Options | Show Columns | Active From and Active To.
- Select 2007 in the Active To box. The account will no longer show up in 2008 and later.
There may be a tool eventually that will clean up these orphaned Multiple Distributions. Till then, use one of the techniques above to deal with accounts with no transactions that you can’t delete.- David
